File Share / uploads

File share quick link displays items only when the user has access permission. The user can view differentiation between logs of downloads for a file. 

 

1.Select [File Share] from the quick link.

“No matching Documents” message appears if there are no uploaded files available.

2.Click [Upload] to add the document.

a.Upload the file using [Choose File To Upload], enter the file name, customer reference number, description of the file uploaded, select the file category and check the recipient options.
 
Note:

The system allows the user to enter Filename up to 300 characters.

User can upload file(s) into system not exceeding 10MB.

b.Click [Publish Now] to upload the select file into TO.        

The counter of downloads file will be displayed in the Downloads column with a hyperlink.

On the click of the hyperlink, the system displays a popover.

The user can view the download history with Serial Number, Downloaded By, Downloaded On details in the popover. The Downloaded By and Downloaded On will have the following details,

oDownloaded By – Username - Party (Role)

oDownloaded On – Date & Time

Note:
The upload button is disabled when a file is checked in the fileshare screen.

3.If you want to send the Fileshare documents through email to recipient/parties, click [Send Email].
The system opens FileShare by eMail window.        

a.Enter Sender Email id, Email Subject and Message.

b.Recipient Email Address or Select Parties check box to send email.

c.If you want to attach the documents, select the Documents Attached check box.

d.Click [Ok] to send email to recipient/parties along with selected documents as attachments.
 
Note:

If files are not available, then [Send Email] button is not displayed.

If the user clicks on [Send Email] without selecting files, then the system triggers alert as 'Please select at least one Document to send email'.

If any of the fields is left blank, then the system alerts the user to fill all the fields.

4.If the user wants to download P.O files in a group, select check box and click [Download], the system downloads all the selected files.
 
Note:

In case of batch download, a soft alert occurs stating “You are now downloading XX (no. of files) files” with [Ok] and [Cancel] buttons. Click [Ok] to continue download and [Cancel] to abort the download.

When the user downloads a document from the File Share/ Uploads of track and trace screen, the downloaded filename is enhanced to be renamed with the Filename_ID.

If the user downloads multiple documents, the multiple files will be downloaded as a Zip file. The name of the Zip file is enhanced to be renamed with the respective P.O./T.O. Number.

5.If the user wants to remove any uploaded files, select the check box and click [Remove].

 

Note:

CT is integrated with Document Manager, so the user can store the uploaded files/documents of CT in the Document Manager.

The user should define imaging_integration system parameter as 'Y', so that the documents uploaded in CT are transferred to Document Manager Repository. If the parameter is defined as 'N' document then the documents uploaded are stored within the CT server.

When the user uploads any TO document using file share menu in CT, an XML is triggered to the Document Manager. The CT sends the following details to Document Manager based on document uploaded.

File extension (Example: Doc, PDF etc.) 

Code (Example : TO)

Reference Value (Example: TO Number etc.)

When a successful response is received from Document Manager for TO documents uploaded in CT, physical document available in CT is removed.

Click [Upload Document Against TO] in CT to retrieve the document from Document Manager.
